Exhibitor Information
Exhibiting is an integral part of the meeting and this meeting is sponsored by the American Neurogastroenterology and Motility Society and the ANMS Institute. As an exhibiting company, you will enjoy prime exposure and direct marketing opportunities with the key players and decision-makers in the field. The floor plan is designed to maximize the exhibitor’s exposure to the meeting participants.

All breaks will be held in the exhibition area. Particular attention will be given to signage and decoration enabling an easy and convenient visit of the exhibition.

Space Allocation
Table-top displays only. One 1-foot x 6-foot skirted table, one trash can, and two chairs will be provided. Two registration fees will be complimentary. Registration includes all breaks, lunches, and reception.  Additional company personnel will need to register at the Exhibitor registration rate.

Electrical Connections and Internet
We will send a form to the official contact person from your company asking what arrangements for electricity or Internet access will be needed at the Baltimore Marriott Waterfront and will communicate this to the hotel. They will then contact the official contact person directly.

Exhibiting Fee and Application Deadline:  April 1, 2024

Exhibiting Fee:  $5,000 USD

Applications for exhibit space are considered on a first-come basis. Given limited space in the exhibit area, it is recommended that your organization submit the completed application form as soon as possible. The deadline for receipt of the application and full payment is April 1, 2024.

Exhibition Schedule
Set up: Thursday, July 25, 2024 – 4:00 pm to 6:00 pm
Tear down: Sunday, July 28, 2024 commencing at 12:00 pm

Exhibit Hours
Saturday: 7:30 am – 5:00 pm
Sunday: 7:30 am – 12:00 pm

Assignment of Space
Space will be assigned as requested wherever possible. We will make every possible effort to assign a preferred location. Exhibitors wishing to avoid assignment of space adjacent to that of a particular competitor should indicate so on their application form. Careful consideration will be given to all requests

However, we cannot guarantee acceptance of these requests. ANMS reserves the right to relocate or reassign space at any time for the overall benefit of the meeting. If a preferred space is not available, ANMS will contact the company to discuss alternative space.

Exhibitor Registration
All exhibitors must be registered. Two exhibitor name tags will be issued with the exhibit fee. Additional exhibitors will need to register separately at the Exhibitor registration fee on the Registration page.

Exhibit Representation
Exhibits must be staffed by a company representative during the scheduled exhibit times. All company representatives must be preregistered. No shared registrations.

Company and Product Profiles
A complete listing of all exhibitors will be included in the Final Program, which will be distributed to all attendees. Please email your company profile by April 1, 2024 to be included in the Mobile App.

Give-aways and Distribution of Printed Materials
Give-aways are no longer allowed. Printed material may only be distributed in the space provided by the exhibitor. No such material may be distributed in any hotel used by the meeting.

Sound Devices and Noise Level
Noise level from any product demonstration or sound system must be kept to a minimum and must not interfere with other exhibits or educational activities.

Cancellations
Cancellation requests must be received in writing via email on or before June 15, 2023 and are subject to a $250 cancellation fee. No refunds issued after May 1, 2024.

Liability
Each exhibitor agrees to protect, save, and hold the Baltimore Marriott Waterfront, American Neurogastroenterology and Motility Society and all agents and employees thereof (hereinafter collectively called “Indemnities”) forever harmless for any damages or charges imposed for violations of any law or ordinance, whether occasioned by the negligence of the Exhibitor or those holding under the Exhibitor. Further, the Exhibitor shall at all times protect, indemnify, save, and hold harmless the indemnities against and from any and all losses, costs, damages, liability, or expenses (including attorney’s fees) arising from or by reason of any accident or bodily injury or other occurrence to any person or persons, including the Exhibitor, its agents, employees, and business invites, which arise from or out of the exhibition premises, the hotel, or any part thereof.

Shipping
Exhibitors must make individual arrangements for shipping and handling. Details for shipping will be sent to the official contact person.

Exhibitor Agreement:  It is a requirement of the CME office that you agree to the following:

  1. Proprietary company representatives may not engage in sales activities where the educational activity occurs (inside meeting rooms)
  2. Canvassing or distributing any material outside the exhibitor’s own space is prohibited.
  3. Use of billboard advertisement and/or display of signs outside of the exhibit area is prohibited.
